Alldocs are a Storage, Scanning and shredding services provider. The company provide a document management and
software development service to various blue chip clients. This allows documents to be scanned, indexed and retrieved for
approval of buyers and account managers. This is available to their clients online for 24 hour access.
Alldocs use TAS accounting Package to maintain their books of accounts, since there is a large volume of sales involved they preferred to have control over the sales. Alldocs were seeking a monthly management service to provide accurate and reliable financial reports with co-operation of the bookkeeper and other sales staff.
PROCESS
We offered our flexible solution, whereby we access the bookkeeper’s computer at the client’s premises. This pc is connected to the network which we remotely access and update the accounts. Sales are simultaneously updated by Alldocs staff, while we deal with the rest of data entry and management reporting systems.
The documents are scanned by Alldocs and uploaded on to an FTP site where we download and retrieve the documents through specific client retrieval software. We then access their accounting system remotely and update the monthly accounts. Once the accounts are updated on Tas Books, a customised package of management accounts are prepared and uploaded to our website where Alldocs have secure access.
Alldocs enjoy this partnership and complete bookkeeping services, as well as full management reporting and VAT administration. The reports are stored on our web site for easy access by our clients. The Board of Alldocs now receive this high quality value added service at a much reduced rate than would be otherwise available by using full time staff. We are constantly endeavouring to improve the financial information that our clients can access. Alldocs have benefited considerably from our service through access to accurate and high quality management reports. This has resulted in better cash flow management
